1. Who we are
QIXOL Ltd ("Qixol", "we", "us" or "our") provides QixolPromo. QIXOL Ltd is registered in England and Wales under company number 08117893. Our registered office is 7 Whitworth Road, Chippenham, Wiltshire, SN15 3QS.
Where Qixol determines why and how personal information is used, Qixol acts as controller. You can contact us about privacy matters at info@qixol.com.
Where a QixolPromo customer sends personal information for Qixol to process on that customer's instructions, the customer will normally be the controller and Qixol will normally act as processor. The customer's own privacy information should explain that processing.
2. Who this notice covers
This notice covers website visitors, people who contact us or request a demonstration, prospective customers and partners, customer and supplier contacts, QixolPromo account and support contacts, and people we contact in a business-to-business context.
3. Information we may collect
Depending on your relationship with Qixol, we may collect business contact details; job role and organisation information; enquiry, sales and meeting information; customer administration and authorised-user details; support requests and technical information; website and device information where permitted; marketing preferences; and relevant business correspondence.
QixolPromo is designed primarily to work with product and basket information, customer identifiers, customer segments and relevant attributes. It does not require end-customer names, postal addresses or email addresses to calculate promotions. An identifier or attribute may nevertheless be personal data where it can be linked to an identifiable person.
4. Where information comes from
We collect information directly from you when you contact us, submit a form, sign up for information, communicate with us, use an authorised QixolPromo account or raise a support request.
For business development, we may also obtain professional and business contact information from existing relationships, previous enquiries, referrals, company websites, professional networks such as LinkedIn, public business sources, industry information and research tools or AI-assisted agents used to identify organisations, roles or business signals that may be relevant to QixolPromo.
We do not treat publicly available personal information as consent. Where we obtain personal information from another source and use it to contact an identifiable person, we provide or draw attention to appropriate privacy information within the period required by applicable data protection law, including at first communication where required.
5. Why we use personal information
Where we rely on legitimate interests, those interests include operating and protecting our business, supporting customers, developing QixolPromo, and identifying and communicating with organisations that may have a relevant business need. We consider those interests against the rights and reasonable expectations of the people concerned.
6. B2B marketing
Qixol markets QixolPromo primarily to organisations and business contacts. We may contact relevant people at corporate organisations where the communication is relevant to their professional role and the law permits us to do so.
Electronic marketing rules are stricter for individuals, sole traders and certain partnerships. Where consent is required, we will not use legitimate interests as a substitute for that consent.
You can object at any time to our use of your personal information for direct marketing. If you do, we will stop using it for that purpose. Marketing communications will identify Qixol and provide a straightforward way to opt out. We may retain limited information on a suppression list so that your preference continues to be respected.
8. International processing
Some of our service providers operate internationally. Personal information may therefore be processed outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we use an applicable lawful transfer mechanism or other permitted basis, which may include UK adequacy regulations or approved contractual safeguards. You can contact us at info@qixol.com if you would like more information about safeguards relevant to your personal information.
9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it is held, taking account of legal, contractual, accounting, security and operational requirements.
- Sales and demo enquiries that do not become customers are normally retained for up to 24 months after the last meaningful contact.
- Marketing suppression information may be retained for as long as needed to respect an opt-out.
- Customer, contract, invoice and accounting records are retained during the relationship and afterwards for the period reasonably required by legal, tax, accounting and contractual requirements.
- Support and technical records are retained according to their operational purpose, customer relationship and applicable legal requirements.
- Website analytics information, where enabled, is retained according to our configured analytics settings and applicable requirements.
10. Your rights
Depending on the circumstances and the lawful basis involved, UK data protection law may give you rights to request access to your personal information, correction, erasure, restriction of processing, data portability, and to object to processing. Where we rely on consent, you can withdraw it at any time without affecting processing that was lawful before withdrawal.
You have the right to object at any time to the use of your personal information for direct marketing.
To exercise a right, contact info@qixol.com. We may need information to confirm your identity before acting on a request.
You also have the right to complain to the Information Commissioner's Office. You can find information about making a complaint at ico.org.uk. We would welcome the opportunity to address your concern first.
11. Security and automated decisions
We use appropriate technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse or disclosure.
Qixol does not use the personal information covered by this notice to make solely automated decisions about individuals that produce legal or similarly significant effects. Research tools or AI-assisted agents may help identify business signals or potentially relevant organisations and contacts, but they do not make such decisions about individuals.
12. Changes and contact
We review this notice and update it when our processing, services or legal requirements change. If we intend to use personal information for a materially new purpose, we will provide appropriate information before starting that processing where required.
Questions or privacy requests can be sent to info@qixol.com.
